Sending Files to a Borrower or Business Partner

In Encompass, use the Send button on the eFolder to send completed eFolder documents (documents with file attachments) to a borrower or partner. The borrower or partner receives an email with a link to a secure Consumer Connect website where they can download the documents.

There is a 30MB size limit for files that can be sent at one time via this feature. If your total file size exceeds the 30MB limit, send the files in separate, smaller groups.

ClosedSend Files

  1. On the eFolder, click the Documents tab, and then click the Send button.

  2. Click Send Files.

  3. When the Select Documents window opens, select a Stacking Order if needed, and select one or more files to send.

    The stacking order controls the order in which documents display on the Send Documents window and on the Loan Center. To change the document order, select a different stacking order from the list. Stacking orders are maintained by the administrator in the Document Stacking Templates setting. When a stacking order is applied, a visual indicator denotes the status of the documents and their file attachments. When a document in the stacking order does not have a file attachment, the document is highlighted in pink when a file attachment is required and in yellow when a file attachment is optional. Documents are not highlighted when they have files attached.

  4. Click the Update Template button to open and edit the Stacking Order template if needed.

    This button is visible only for user who have access to the Document Stacking Template setting. When you click the button, a pop-up message states that you are about to update the company-wide document stacking template configured by the administrator. You have the option to continue or cancel the update. If the template is updated, an entry is added to the Encompass log recording the date and your user ID.

  5. Click Continue, or click Preview to preview the files.

    When a Stacking Order is applied and one of the required documents does not have a file attached, the Continue and Preview buttons are disabled, and you will not be able to continue past this window.

  6. When the Send window opens, type one or more email addresses in the To field.

    • Or click the Find icon to select a borrower contact

  7. Select the Request read receipt check box to request an electronic verification when a recipient opens the email.

  8. Change the Subject text and enter or edit a message, if needed.

    • Or select a template from the Subject drop-down list to populate the text message with a preconfigured template.

  9. When finished, click Send.

    A standard email containing a link to the Consumer Connect website is sent. The email recipients create their own login information if they have not done so already, log in to the website, and then view the documents.

For a native format file, notes are included in the file when it is sent via the eFolder. If you do not want notes included, delete them before sending files via the eFolder. For image files, only notes that have been created as Public notes are included when the file is sent.

ClosedSend Files to Lender

  1. On the eFolder, click the Documents tab, and then click the Send button.

  2. Click Send Files to Lender.

  3. On the EDM Lenders window, select a lender or investor from the list, and then click Submit.

  4. When the Select Documents window opens, select a Stacking Order if needed, and select one or more files to send.

  7. If the Image Upload Information window opens, complete the information on the screen, click Continue, and follow the instruction provided by the investor.

  8. If the Submit to Lender window opens, review and edit the information as needed, and then click Submit.
