Submitter package and document statuses

Simplifile uses statuses to track the progress of each document and package through the eRecording process. This lets submitters and recipients look at package statuses in Simplifile to find out where a package is in the process.

The table below lists the statuses a package or document may have in Simplifile, and describes what each status means. You can click a package’s status on the Packages page to see a definition of that package status and a list of items that require attention. You can also click a document’s status on the Package Details page to see a definition of that document status and a list of items that require attention.

Submitter Documentation Statuses
This Status Means this You can do these tasks
Accepted A recording jurisdiction employee has verified that all of the documents in a package qualify to be recorded and passed the documents to the recorder.  
Draft Additional work is needed.

You can add and prepare documents in a package with a Draft status.

One or more documents in a package are not ready to be submitted for recording. All documents start in this status.

When all documents have been added, prepared, and marked as recordable, Simplifile changes the package status to Ready.

Finalizing All documents in the package have been processed and recording data and stamped documents have been returned to Simplifile. However, the recording jurisdiction reserves the right to change the recording until they change the package status to Recorded.

Recording jurisdictions require payment of associated recording fees on the date they reach Finalizing status, even if they do not progress to Recorded status until a later date. Most users should wait for packages to reach Recorded status before retrieving these documents.

NOTE: Finalizing status is only used by a small number of recording jurisdictions.

 

Maintenance Someone at Simplifile is working on a package for you. Work with Simplifile support as needed.
Ready The submitter has prepared documents in a package for recording, and they have been signed and notarized, as needed. The package is ready for submission. Submit the package. For more information, see Submit a package.
Received The package has arrived at the recording jurisdiction and is on its way to the reviewing queue.  
Recorded All of the documents in the package have been recorded and returned to Simplifile. Print and/or download recorded documents for storage, as needed. For more information, see Recorded document and package handling.
Rejected A recording jurisdiction reviewer has determined that a document does not qualify to be recorded and has returned the containing package (including all of the documents in the package whether approved or rejected) to the submitter.

The reasons for the rejection have been noted in Simplifile so that the submitter can make corrections and re‑submit the package.

A billed rejected status means that the package was rejected and that the recording jurisdiction charged a rejection fee.

Review and correct the rejection reasons for each document. For more information, see Rejected package review.

After all corrections are made, resubmit the package. For more information, see Submit a package.

Sent The submitter has sent the package to the recording jurisdiction.  
Voided A package has been declared invalid.

This may happen if a document is accidentally recorded twice.

The second document is marked voided to show that it is not part of the public record.

The submitter starts the process to get a document marked with this status.
