Overview
Welcome to Simplifile Document Builder, a supplemental tool for the Simplifile Submitter component. The eRecording Submitter component is supplemental functionality for the Simplifile eRecording Submitter component that lets you create packages and upload or scan documents into those packages before you submit them to be recorded. This process is explained in the Simplifile eRecording Submission Guide.
In addition to uploading or scanning documents, the Document Builder service lets you use templates to generate documents for packages, or submit documents from a third party using a special Simplifile print driver. It also helps you prepare, e‑sign, and e‑notarize the documents in Simplifile before you submit them for recording.
After signing and notarizing, you can continue in Simplifile to submit electronically, or you can print the documents and use another method to deliver them to the recording county (or jurisdiction).
In addition to the regular package and document statuses described in the Simplifile eRecording Submission Guide, documents you create from templates have additional statuses that reflect where they are in the preparation workflow.
You can use the Document Builder to do the following:
- Choose which documents to send to borrowers in each state. You can also have Simplifile automatically generate a borrower letter from a template to include with the documents you choose.
- Create documents from a template as well as through uploading or scanning. Talk to your Simplifile account manager to find out about how to have a template created.
- Enter data to complete a template form. If desired, you can search for or upload documents (such as recorded deeds of trust, mortgages, and liens) to help you find necessary information.
- Add a legal description exhibit. If the legal description of a property is too long for the template, the Data Entry page displays a checkbox. Mark the box to have the legal description appended as a separate document. This assures that necessary information display on the first page.
- Submit documents from a third party. You can install the Simplifile print driver and choose Simplifile as your printer. Simplifile creates a PDF and scans it to determine whether the document is eRecordable. If yes, the document continues through the eRecording process. If not, the document is printed for manual delivery.
- Add Mortgage Electronic Registration System (MERS) and corporate seals. This lets you electronically apply necessary seals to documents instead of doing it manually
- Sign and notarize documents. Signatures, credentials, and seals can all be stored in Simplifile and electronically applied.
- Review documents before submitting. This lets you have another person at your organization look at each document to help assure it complies with the recording county's (or jurisdiction’s) requirements before you submit the documents.
- Submit documents. If your county (or jurisdiction) eRecords, you can send documents and track the recording process from within Simplifile. If your county (or jurisdiction) does not eRecord, you can print documents from within Simplifile to deliver in a different manner.
A document may require multiple signatures. For example, a document may need the signatures of witnesses in addition to notaries. Simplifile recognizes each necessary signer and maps each to its appropriate location in the template so that your office team can complete each document as required.
A document that is ready to be signed displays in the first signer’s signing list. After the document is signed by all necessary parties, the document moves to the notary’s signing list. Documents are ready for submission as soon as indexing requirements have been met (often during data entry) and all signatures and seals have been applied.
Your Simplifile representative enables the Document Builder for your organization. Then you identify the signers and notaries at your organization and assign the appropriate roles in Simplifile. This gives the signers and notaries the ability to store their signatures within Simplifile so they can e‑sign with a single click. Notaries can also store their seals and credentials within Simplifile and select to apply them.
