Encompass Updates and Enhancements to Features - 23.1 Major Release
This section discusses the updates and enhancements to existing forms, features, services, or settings that are provided in this release.
Forms & Tools Enhancements
The Funding Worksheet has been updated to provide a better user experience. When a user selects a check box next to a fee item, the Total Deductions and Wire Transfer fields are updated without requiring the user to apply or save the changes. Funding Fee check boxes now update the Total Deductions and Wire Transfer amount fields. In addition, changing the Overwire Amount field now updates the Wire Transfer Amount field at the top of the Funding Worksheet without requiring that the user select Apply.

The Details of Transaction section at the bottom of the Fee Itemization form now displays the Qualifying the Borrower - Minimum Required Funds or Cash Back section from the Application View. The Qualifying the Borrower - Minimum Required Funds or Cash Back section matches the content that displays on the Qualifying the Borrower form in the Application view, including the changes that were introduced to support Itemized Credits in the Total Credits section in the 22.3 Service Pack 1 release. Selecting or clearing the Itemize Credits check box on either of these forms will update the content that displays in section M on both forms.

The Milestone Timeline has been updated to provide more information about the milestones at a glance. With this update, the date that a milestone was completed or the date that a milestone is expected to be completed now displays under the milestone name in the Timeline.

A new Prequal Credit Report check box field (field ID 4750) has been added to the Credit Information section of the Borrower Summary – Origination and Borrower Summary – Processing input forms to enable lenders to indicate whether the credit report for a loan is a prequal credit report. This credit report type is not a full credit report and is not usable for purposes of fully underwriting a loan. The check box applies to the borrower pair currently selected for the loan.
The field is not set by default, and it will not automatically be changed by Encompass if a full credit report is ordered after the prequal credit report.

A change has been made to prevent users from inadvertently adding a funding fee when the loan is exempt. When the Funding Fee Exempt Status field (field ID 990) is set to Exempt, the MI Calculator next to the VA Funding Fee Amount field (field ID 1826) on the VA Correspondent Information form can no longer be selected.

Lenders now can waive escrow for mortgage insurance payments on a loan. Previously mortgage insurance payments were always escrowed by default and could not be waived.
To support this update, changes have been made to the escrow workflow and a new Escrowed check box has been added to the following forms:

A new Escrowed check box (field ID NEWHUD2.X4769) has been added to the Fee Details pop-up window for line 1003 on the Fee Itemization input form. When mortgage insurance (field ID 232) is entered on line 1003, the Escrowed check box on the pop-up window is selected by default. Users must clear the check box to waive escrow for the mortgage insurance.
A new Mortgage Insurance row with Escrowed and Non-Escrowed check boxes (field ID NEWHUD2.X1728) has been added to the Closing Disclosure Page 4. When the Escrowed check box is cleared on the Fee Details window, the Non-Escrowed check box for mortgage insurance is selected on the Closing Disclosure Page 4.

To increase the number of product selections and attributes that can be sent to Freddie Mac, the Renewable Energy Component Type drop-down list on the ULDD/PDD Freddie Mac and Freddie Mac Additional Data forms been renamed to Renewable Energy Component Type 1 and the following three new fields have been added in the same location:

In earlier versions of Encompass, users could utilize field 1851 (Closing Costs from Linked Loan) on the 2015 Itemization input form to reflect 2nd Lien closing costs on a non-linked loan. When submitting to DU and LP, this data would be reflected in the Underwriting findings. Starting in Encompass 22.3, this field was disabled (grayed out) on the 2015 Itemization input form, and the amount was populated only when loans were linked via the Piggyback Loan Tool. This caused inaccurate findings to be returned from DU and LP, with the cash back not reflecting the closing costs from the other loan in Underwriting findings. To address this, the following updates have been made in 23.1:

The field label has been changed to Closing Costs from Other Loans.

When loans have been linked via the Piggyback Loans Tool, a Lock icon now displays next to the field and the field is not editable (grayed out). Click the Lock icon to edit the field.

When loans have not been linked via the Piggyback Loans Tool, a Lock icon does not display, and the field is editable.

The label for the field has been changed to Closing Costs from Other Loans.

When a user enters data in the field and then uses the Piggyback Loan tool to link the loan to another loan, the field retain the data that the user manually input.
This update enables users to submit 2nd lien closing costs to DU or LP when there is a 2nd lien loan that is not linked via the Piggyback Loan tool.

The VA 26-1805 Reasonable Value form has been revised and organized into six sections. Two existing fields have been updated and 21 new fields have been added.

For loans existing prior to upgrading to Encompass 23.1, the Garnishment, Attachment, Foreclosure, Repossession or Collection Action or Judgment check box will remain selected if a selection was made in the Garnishment or Attachment check box in previous versions of Encompass. The three remaining check boxes are cleared by default. Users can manually select the relevant check boxes if needed. Administrators can also create business rules to populate these check boxes.

Workflow Automation Enhancements
The ability to import and export task workspaces has been added to the web version of Encompass. This feature enables administrators to import and export task workspaces from one environment to another. This feature assists administrators with moving task workspaces between a test and production environment. Administrators can export up to 10 workspaces at a time.
Note: Administrators should ensure that all workspace dependencies are available in the target instance when an import is performed. This includes anything that might be specific to your instance, such as a custom form that is used as workspace content.
To Export Workspaces:
- From the Encompass Admin Portal, select Workflow Tasks, and then select Workspaces.
- Select the check box in front of the workspaces you want to export.
- Select Export .
- If exporting one workspace, the file is saved to your browser's default download location with the name of the workspace as the file name
- If exporting more than one workspace, continue to step 4.
- Enter a name for the export file in the File Name field.
- Select Export. The file is saved to your browser's default download location.
To Import Workspaces:
- From the Encompass Admin Portal, select Workflow Tasks, and then select Workspaces.
- Select Import .
- Navigate to the location where the exported workspace file is downloaded, and then select the file and select Open.
- On the Import Workspace(s) window, review the list of workspaces and then select Next.
- On the Validate Dependencies screen, select Import once you are sure that you have resolved any potential dependencies for your workspaces (such as custom forms associated with workspaces).

Two new triggering events have been added which enables administrators to trigger workflow rules around enhanced conditions. The Condition Added triggering event enables workflow rules to be triggered when a new enhanced condition is added to a loan. The Condition Status Updated triggering event enables workflow rules to be triggered when the status of a specific enhanced condition is updated.
To Select Condition Added as the Triggering Event:
- From the Encompass Admin Portal, select Process Automation.
- Select Workflow Rules, and then select New Rule to create a new rule.
- In the Triggering Event field, select Condition Added.
- Select a condition from the condition list that displays.
To Select Condition Status Updated as the Triggering Event:
- From the Encompass Admin Portal, select Process Automation.
- Select Workflow Rules, and then select New Rule to create a new rule.
- In the Triggering Event field, select Condition Status Updated.
- Select a condition from the condition list that displays.
- Select the status that the condition needs to change to in order to trigger the event.
Note: Administrators can select multiple statuses to apply to the triggering event.

A new triggering event has been added which enables administrators to trigger workflow rules when a requested service order has been fulfilled by a partner on a loan.
To Select Service Order Fulfilled as the Triggering Event:
- From the Encompass Admin Portal, select Process Automation.
- Select Workflow Rules, and then select New Rule to create a new rule.
- In the Triggering Event field, select Condition Added.
- Select a service category from the Service Category field.
- Select the service order product that will trigger the event when an order has been fulfilled from the Product field.

Workflow Tasks Enhancements
A change has been made to how documents are displayed for workspaces associated with a Workflow Task. With this update, only documents marked as Current in the Documents folder will display when that document is used in a workspace. Previously, all documents for a document folder were displayed.
To Mark a Document as Current

From a loan in the web version of Encompass, select Documents from the left menu,

Select a document folder to expand the folder and view the attached files.

Select the Current toggle to set the file as active.

Several enhancements have been made to the task details page for tasks. These updates include the following:

Allow adding comments to a task when the task is not yet started - Users can now select the Comment icon and add comments to a task when the task status is Not Started.

Prompt users with a warning message regarding unsaved changes when navigating away from the Task Details screen -When a user navigates away from a task, either by selecting the back arrow or moving to the next task, after changes have been made without saving changes, they receive the following message:

Not Started and In Progress sub task filtering combined into Not Started - Users can filter by All, Not Started, or Completed.

Workspaces performances optimization - Changes applied to improve performance when using workspaces on a task.

The ability to update the priority for a task from the Workflow Tasks Pipeline has been added for users in the web version of Encompass. Previously, if a user wanted to update the priority on a workflow task they were required to open task and make the change on the task details. With this update, users are now able to select the Pencil icon next to the priority value and update the priority without opening the having to open the task.

Fixed Issues
Why we made these updates: The following issues were fixed to improve usability and to help ensure the web version of Encompass and the Web Input Form Builder is operating as expected. The issues that are chosen to be fixed are based on the severity of their impact to clients and client feedback.
An issue was discovered where the Settlement Agent field (field ID VEND.X655) was editable on the Closing Disclosure Page 1 form. This behavior was different from the desktop version of Encompass. This has been fixed, and now the Settlement Agent field on the Closing Disclosure Page 1 form is view only.

An issue was discovered where a Close event was triggered when a user selected the Pipeline tab. This issue could cause a custom plugin to trigger prematurely. This issue has been fixed, and now a Close event is only triggered when the user closes a loan.
ENCW-74481
The Prepayment Penalty field (field ID LE1.X27) on the Loan Estimate Page 1 intended for users to enter the number of years or months where the borrower will be assessed a prepayment penalty if they pay off the loan during that time period was incorrectly being displayed as a dollar/currency amount rather than an integer. For example, $9 instead of 9. This field has been updated to now reflect the value as an integer as expected (as shown below).

When using the Company/User Setup > Loan Left Navigation tool to set up a Custom Item Set, administrators encountered an issue when attempting to arrange forms and tools in a specific order. When the administrator tried to move a form or tool to a new location in the list, the items would revert back to alphabetical order. This issue is now fixed and the custom order of the forms and tools in the Custom Item Set is now retained as expected.
