Attach and Assign Files

To associate a file with an eFolder document, you must attach the file to the eFolder. You can attach a file from the Document Details window or the File Manager. When you attach a file from the Document Details window, the file is assigned to the document. When you attach a file from the File Manager, the file is attached as an unassigned file that is not associated with an eFolder document. You can then assign the file to a document.

More than one file can be assigned to the same document, but each file can be assigned to only one document. When you assign a file, it is no longer considered an unassigned file and it cannot be assigned to another document. If an assigned file is removed from a document, it is returned to the unassigned files category and can then be assigned to another document.

  1. On the eFolder Documents tab, select a document.

  2. Click the Edit icon to open the Document Details window.

    • To browse and attach, click the Browse and Attach icon in the Files section, browse to select a file, and click Open.

    • To select one or more files at the same time, click a file and then press <Shift> and click another file to select all files in between. Or, click a file, and then press <Ctrl> and click additional files to select the individual files.

      The following file extensions are supported for Browse and Attach: .doc, .docx, .emf, .html, .jpeg, .jpg, .pdf, .tif, .txt, and .xps.

    • To scan and attach, click the Scan and Attach icon in the Files section, select a scanner from the list, and click Scan.

      To use the Scan and Attach feature, you must have a Twain-compliant scanner that is  installed locally or on your network.

    • To add any standard Encompass form without having first ordered a service or requested a document from a borrower, click the Attach Encompass Forms icon in the Files section, select one or more forms, and then click Add.
    • To attach an unassigned file, click the Attach Unassigned Files icon. Select a file from the list, and click Assign.

  2. To assign an unassigned file to a document, drag the file from the Unassigned section into the Documents section below, and drop it on the Encompass document to which you want it assigned.

    A plus (+) sign appears to the left of a document that has files assigned to it. Click the plus sign to view the associated file. You can assign a file to only one document, so the file will disappear from the unassigned section as soon as it is assigned to a document.
