Control Access to Providers in Encompass
Encompass users use the Title and Closing service to submit orders to participating title and closing providers and their company's own preferred providers.
- By default, participating providers are included in the default directory of title and closing companies in Encompass.
- Preferred providers are those that Encompass users add to the directory because they are not included in the default list.
If your company is not listed in the default directory of title and closing companies, an authorized Encompass user can add it to their My Title Companies tab (and the directory) as a preferred provider. The Encompass administrator can also control which users have permission to add a new provider to the My Title Companies tab and to use the All Title Companies tab to search for, and then order from, a provider listed in the search results.
To Add a Provider to the Default Directory:
- In Encompass, open a loan.
- Click the Services tab, and then click Order Title & Closing.
- On the Order Title & Closing window, click the My Title Companies tab.
- Click the New icon.

- On the Add Title Company window, type the company name, mailing address, and preferred agent information.
- Click Save.
- Or, click Save and Continue to Order to add the preferred provider to your My Title Companies tab and continue to the provider's order screen.
- Your preferred provider is added to your My Title Companies list.
To Control a User's Ability to Add, Search for, and Select a Provider:
Once your company is added to the Encompass user's My Title Companies tab, the Encompass administrator can control which users have permission to search for a service provider or add and select a service provider of their choice to their My Title Companies tab when ordering title and closing products in Encompass. This permission is set up based on the user's persona.
- On the menu bar in Encompass, click Encompass, and then click Settings.
- On the left panel, click Company/User Setup, and then click Personas.
- In the left panel, select a persona.
- Click the Loan tab.
- Use the Manage Service Providers List setting to control the persona's ability to search for a service provider or add and select a service provider of their choice when ordering title and closing products in Encompass. In the Other section of the Loan tab, click the Manage Service Providers List link.
- Clear the Title & Closing check box.
- By clearing the check box, Encompass users with the selected persona are prevented from using the All Title Companies tab to search for, and then order from, a provider listed in the search results.
- The user is also prevented from adding a new title and closing provider to the My Title Companies tab when ordering title and closing products.
- The user is permitted to order title and closing products from providers listed on the My Title Companies tab only.
- Click OK.
- Click the Save icon to save your changes.
