Add a Bid Tape Registration Job

The Bid Tape Management tab automates the Bid Tape Registration process by generating new loans records based on the metadata provided for each loan on the Bid Tape and assigning each loan to the commitment number provided on the tape (data file).

Bid Tapes can be submitted with multiple commitments numbers. Each commitment number will be displayed in the Commitment # column. If the list of commitment numbers exceeds the column width, you can hover your mouse over the column to display all the numbers.

To Add a Bid Tape Registration Job:

  1. Click the Trades tab, and then click the Bid Tape Management tab.
  2. Click Add Bid Tape.
  • If no Bid Tape Registration jobs have been processed, the screen will be blank except for a message “No Previous Bid Tapes have been processed. Select Add Bid Tape to get started.” and an Add Bid Tape button in the middle of the screen.
  1. An Import Bid Tape pop up window is displayed.
  2. Click on Local Drive to browse for the .csv files you want to import.
  • If an unsupported file type is selected, an error message “Invalid CSV format. Cannot import the file.” is displayed.
  1. Once the Bid Tape Registration jobs are submitted, the Bid Tape Management grid will be populated (Date/Time, Commitment #, Company Name, and File Name) and will display the status of all current and past jobs.
  • The number next to Bid Tape Management is the number of active and completed jobs.
  • By default, the most recent Bid Tape Registration job is displayed at the top, and then listed in date/time order.
  • The Date/Time is the imported date/time (based on the local time/date of the user's browser) of the Bid Tape Registration job.
  • The grid can be sorted by any column except Loans Processed.
  • The Date/Time, Commitment #, Company Name, and File Name columns can be searched by hovering your mouse over the column header and clicking on the Magnifying Glass (Search) icon.
  • The Loan Processed column indicates the number of rows processed out of the total number of rows in the job.
  • Successfully completed rows (registered) will be a blue bar.
  • Rejected rows (not registered) will be a red bar.
  • The Error column displays the number of errors generated during the Bid Tape Registration process.
  • A required fields validation will be run against the Bid Tape Template to ensure a value is present for required fields.
  • A lookup validation will be run for fields identified as Lookup fields (and they are not the TPO ID) in the Bid Tape Template to ensure the value or key already exists in Encompass.
  • A data format validation will be run for fields when the Bid Tape Template specifies a validation. The validation will use the data format of the Bid Tape field against the data format of the Target field in Encompass.
  • An enumeration validation will be run for fields identified as Enumeration fields to ensure a valid value is entered.
  • An Underwriting Delegated field validation will be run on every row of the bid tape, when the Underwriting Delegated field is included on the normalized bid tape template.
  • A delivery type validation will be run, as part of the Commitment Number validation, to ensure an acceptable value of either “Bulk” or “Bulk AOT” is entered.
  • A duplicate loan check will be run using the TPO ID and the Seller Loan Number to check if the Seller Loan Number already exists in the TPO’s pipeline.
  • A trade tolerance check will be run to ensure the trade tolerance for a given Commitment is not exceeded.
  • A YN field process will be run to ensure the YN fields are handled correctly during the bid tape upload process.
  • The Status column displays the status (e.g., Registered, RegisteredWithError, Error) of the Bid Tape Registration job.
  • Jobs with a status of “Processing” or “Imported” can be cancelled by hovering over the job’s row and clicking the Cancel icon.
  • If the job is successfully cancelled, a message ”BidTapeRegistration job [BidTapeRegistrationID] has been successfully cancelled.” is displayed.
  • If the job is no longer active, a message “BidTapeRegistration job [BidTapeRegistrationID] is no longer active. Cancellation request not processed.” is displayed.
  • The Status will be changed to “Canceled”.
  1. A new loan file, based on the customized Bid Tape Template, will be created for every bid tape row that passes the validation process and will be added to the associated TPO Company’s pipeline.
