Encompass Docs Solution Update for Encompass eClose and Borrower Names

The Encompass Docs Solution 23.3 Critical Patch 1 is being released to update changes introduced in Encompass 23.3 to address errors generated during Encompass eClose ordering when Borrower Vesting names and the borrower name on the Borrower Summary - Origination fields did not match.

The Encompass 23.3 major release in October 2023 included a fix to resolve fatal document processing audit errors generated when ordering Encompass eClose when the Borrower Vesting names (field IDs 1868 and 1873) differed from the names on the Borrower Summary - Origination input form (fields 4000-4002 & 4004-4006). (Review the release notes here.) While the borrower name mismatch issue was resolved, two additional use cases were discovered during testing. Therefore, the document processing audit message created to alert users to the borrower name mismatch remained in Encompass 23.3 (and later versions). It was recommenced that Closing Docs users continue to maintain name consistency by updating the names in the Borrower Name and Borrower Vesting fields to match and avoid the error.

This new Encompass Docs Solution 23.3 Critical Patch 1 release now updates and completes the original changes for this issue introduced in Encompass 23.3. The fatal audit error messages triggered during Encompass eClose ordering when the borrower names did not match will no longer occur and Closing Docs users are no longer required to perform the workaround of making sure the borrower names match in both input forms.

To address any possible conflicts, this update also introduces a new form failure message to alert users when a form not intended for Closing is selected via the Add Additional Docs button. This would typically apply to Opening forms which only read the Borrower Summary - Origination fields or forms not required in the eClose package. If this scenario applies, the following new message will display:

Form GXXX is not intended for closing packages, please see KA #115277 for a clear explanation of the error.

Here are some examples of forms not intended for Closing:

  • A Good Faith Estimate or Loan Estimate or other form related to the GFE/LE

  • An Opening Disclosure that is required to be given X days prior to closing (see NOTICE OF RIGHT TO COPY OF APPRSL - GAPL3J)

  • An internal worksheet not intended for a Borrower such as the Borrower Summary, Disclosure Tracking, Various Tools, FHA 203K worksheets, etc.

  • An underwriter form used to determine eligibility such as the VA 26-8937 Verification Of Benefit or the VA 26-8261 Veteran Status.

If you receive this form failure message, please evaluate the form to determine if it is appropriate for a Closing (defined as signed by the Borrower at the Closing table). The EDS Customer Support team may provide assistance as well, as there may be alternative forms available that are already Closing compatible that can be added on your behalf.
