Feature Enhancements
This section discusses the updates and enhancements to existing features, or settings that are provided in this release.
Email Templates
Prior to this release, you could send email templates to one contact record type at a time. Starting with this release, administrators have the ability to assign email templates to multiple contact record types using the options in Edit Email Template setting (in Administer HTML Templates setting in Site Admin).
Users can then send the email templates to the multiple contact types assigned to the template by the admin.
Email template assignments are controlled by the admin only. Users cannot update the assignment. Admins can assign a minimum of one contact record type and a maximum of “All” contact record types to each email template.
- Log into Encompass CRM as an administrator, and click Site Admin.
- Click the Administer HTML Templates link.
- Click the email template you want to assign to contact record types.
- Click the Edit button.
- In the Target Audience drop-down field, select individual contact types to which the template will be assigned.
Or, click Select All to assign the email template to all your contact types.
- Click the Save button.
- Click Hotlist Home or Contacts, and then click the contact to view the email templates assigned to the contact type.
- From the Template drop-down list, select the template that was updated in Assign Email Templates to Multiple Contact Record Types.
Note that the Target Audience updates with the contact types assigned to this template by the admin.
Values in the Target Audience field are not editable here.
- Click the Generate button.
- Note that the Target Audience displays the multiple contact types to whom the email will be sent.
- Click the Send Email button.
- Review the information in the confirmation window and click OK.
In addition to the target audience, this confirmation window also displays the number of recipients to whom the email will be sent and the number of recipients to whom the email will not be sent due to invalid/duplicate email addresses.
Reports
Starting with this release, Mass Email Reports display the target audience to whom the email was sent.
- Click Reports, and then click Mass Email Reports.
- Select your filters (Email Template, Loan Officer(s), Start and End Dates), and then click the View Report button.
- Click a hyperlink for which you want to see the target audience details.
- In the Target Audience column, view the contact type to whom the email was sent.
